What is a public record?
Public Records, broadly, encompass documents, recordings, and other information created or maintained by a government agency. Public records are generally required, by law, to be made accessible to the public and are presumed to be open to inspection, copying, and dissemination unless subject to specific exemptions.
Why is my information public record?
Government entities in the United States have a legal obligation to provide transparency at every level. As such, any record created or maintained by a government agency constitutes a public record, unless otherwise specifically exempted by the statutes that govern the release of that entity's public data. Information deemed releasable as public record is open to the public, this includes business registration information typically maintained and released by state level entities.
What is the source of the financial information?
Financial information provided on IncTrace.com is sourced from the Internal Revenue Service (IRS), the Department of Labor (DOL), and the Small Business Administration (SBA). For more specific source information about a particular business, the Sources tab on the business's page will list the government agencies from which that business's public information was released.
Why is my Name (Phone Number/Address/Email) listed on IncTrace.com?
The official public data released by government agencies generally contains demographic information about business owners, officers, and registered agents. This may include data points such as name, phone numbers, business/mailing addresses, email addresses, and more. This information has been released in accordance with the respective public record laws from each state and the US Federal government and can be requested by any interested party.
How can I opt out of my information being present on IncTrace.com?
You can proceed to our Opt-Out page and fill out the Opt-Out Request Form. Please keep in mind submitting an Opt-Out Request on IncTrace.com will not remove any information from the official public record or any other third-party publicly accessible websites.
I've opted out, why is my information still present on IncTrace.com?
Opt-Outs are limited to people and contact related information appearing in association with a business on the external public facing website only. Please note that an Opt-Out will not remove a business page entirely. We strive to accurately represent the official public record and therefore we do not remove businesses entirely from IncTrace.com.
What information does the Opt-Out function remove?
An Opt-Out will remove data such as email, phone, and the list of people associated with a business from appearing on the external public facing website only, information may still be available to logged-in users or via API.
Why is my business/another business not listed on IncTrace.com?
A business may not be listed on IncTrace.com due to a multitude of factors:
Each state maintains and releases a unique business registration dataset. Some states may only furnish data for active businesses in good standing, while others may provide data for all businesses through history.
A business may have been formed after an update cycle has been performed, and therefore not yet present on IncTrace.com.
How can I remove my business information from IncTrace.com?
We strive to accurately represent the official public record and therefore we do not remove businesses entirely from IncTrace.com.
How can I add additional information to a business profile on IncTrace.com?
As IncTrace.com displays information gathered from the official public record, we do not add information directly from any business to a record details page. Please update your official business registration record with your state's custodian. Changes will then be reflected to your record of IncTrace.com during our following update cycle.
Why is the same data not available for every business?
Each government agency that holds, maintains, and releases public record information has different data practices, standards, and information pertaining to business registration data.
Why do certain business records have more information than others?
Certain businesses may have further information available from other sources, such as the Internal Revenue Service (IRS) or the Small Business Administration (SBA). This may include financial information, such as PPP Loans taken by a business, non-profit assets and expenditures, or publicly available Employee Benefit Plan (EBP) information.
How can I contact a company listed on IncTrace.com?
IncTrace.com does not facilitate contact between users and the businesses listed on the Site. You may use the contact details of the businesses such as listed emails, telephone numbers, or websites to contact a business directly.
Why does IncTrace.com display historic information?
In the effort to be the leading source in business transparency, IncTrace.com publishes information from official public records, this often times includes historical information about businesses. A business's history is paramount to the understanding of its existence today.
My business is dissolved, when will it be removed from IncTrace.com?
We strive to accurately represent the official public record and therefore we do not remove businesses entirely from IncTrace.com. We believe that every business and its history has a public interest, even after its dissolution.
How do I search for a business?
On the IncTrace.com home page, you can begin a search for a business or person in the main search box. You can use the Advanced Filters to narrow down your search by State, City, or by choosing to specifically search for a company, alias, or person.
How do I search for a person?
Using our advanced search feature, you can select 'Person' as the primary search type and input the name of a person. They may be an officer, manager, associate, or a registered agent for a business.
How do I search for an address?
Full Address Search is not supported at this time, however, you can use the Advanced Filters to narrow a search by State or City.
What is an Alias/DBA?
A business alias is a name that a company conducts business under that differs from their legally registered business name. A business alias may also be called a fictitious name, DBA (Doing Business As), assumed name, or trade name.
What does a business Status mean?
The status reflected on the business page may have different definitions depending on the state the business was registered in. For example, a "suspended" status may mean one thing in one state and another in a different state. For a better understanding of a business’s individual status, please refer to the definition provided by the government agency from which that business information was sourced.
Why are there so many status types?
Each state may use separate terminology to describe similar business statuses.
What is a foreign business/registration?
A business that operates in another state than the one in which it is registered requires a foreign business registration.
How do you link companies on IncTrace.com?
We use a variety of official public record data to confidently link companies, associates, and locations to one another. Between multiple businesses you may see shared associates where the person's name and city match, where multiple businesses share the same address, the same street, or the same city.
Why are there so many companies linked to a single address?
You may come across a business that shares a common address with many other businesses. Often times, this is due to the address for these businesses being the address of a shared registered agent. You may see hundreds of businesses registered at the same address when sharing a registered agent. In other instances, multiple businesses may share space in a large building, or use postal office boxes as their designated address.
What is a Transparency Score?
Transparency Score is assigned to a business based on a number of factors and may be updated over time based on how those factors change. Transparency Score can be impacted by the quality of data an entity releases as public record, the process through which the data is released to the public, whether a business's public contact information has been verified, and a number of other factors. Transparency Scores are relative to the businesses within a state. Comparing businesses from different states may be drastic due to the variation of data quality and release processes from state to state.
How do I improve my Transparency Score?
You can increase your transparency score by claiming a business and verifying the data released by the applicable government agencies. If discrepancies are noted, you should contact the appropriate agency to update your information those discrepancies will be updated at the next regular update cycle.
Why is there a map showing my business address?
The maps displayed on IncTrace.com use the address information contained in the official public record in combination with a display from Google maps. You can find the same map by searching for it directly using Google Maps.
How do I create an account?
Users can create an account by clicking the Login button at the top of this page and following the Sign Up link on the Login modal. We are currently accepting a limited number of users as we finalize build out of new features. When that number has been reached you may be prompted to join our waitlist. We encourage everyone who cannot immediately create an account to join our waitlist to be notified as soon as new users are being accepted again.
If I create an account, can I manage information shown about my business?
Creating an account will not allow you to update the information presented on IncTrace.com. If you need to update your business information, please update your official business registration record with your state's custodian. Changes will then be reflected to your record of IncTrace.com during our following update cycle.
How do I claim a business profile?
To claim a business profile, click the menu icon next to the Follow button for that profile, then click Claim Business Profile. We are currently accepting a limited number of users as we finalize build out of new features. When that number has been reached you may be prompted to join our waitlist. We encourage everyone who cannot immediately claim a business to join our waitlist to be notified as soon as new users are being accepted again.
